Default posture:
FocusFlow runs as a desktop agent by default. By default, information is collected from and processed on the local device, so no data leaves the environment that already has access to that data.
Is this a desktop agent, a self-hosted server, or a Teams/Slack app?
  • Desktop agent by default (local-first processing and storage).
  • Optional self-hosted server for centralization, monitoring, and shared workflows.
  • Tool integrations (Slack/Teams/Jira/Confluence/etc) are connectors, enabled/disabled per environment.
You can run everything on-device, or centralize specific components only (by team/department/project).
Where is transcription performed? Where are embeddings stored?
  • Transcription: local by default. You can change where it runs via configuration.
  • Embeddings: computed and stored locally by default, with optional centralized stores.
Config can vary by workspace (division → team → project) so different areas can use different storage or models.
Can it run with Azure OpenAI / on-prem models / no external API?
  • Yes. FocusFlow routes model calls through LiteLLM (AI gateway proxy).
  • Default can be local models via Ollama (no external API calls).
  • Also supports Azure OpenAI, hosted OpenAI-format endpoints, and many other providers.
  • Supports fallbacks and spend tracking, and keeps everything in the same OpenAI-style API format.
Per-workspace configuration means you can keep a consistent workflow across projects without manually swapping keys.

  • Node-level configuration defines what a Synclet instance can see/do.

  • Sharing is opt-in: by default nothing is shared. Users choose what is synced to team spaces and what gets published back.
Can you respect SharePoint / Confluence permissions?

Yes, connectors use access tokens and respect the permissions enforced by the source system. What gets indexed is constrained by

  1. the token scope, and
  2. the user's permissions in that system.
